# Referral

## Guide to Referral Program

Referral is a tool used by many businesses to generate traffic and customers to their platform. Under this program, an existing user of a platform can gain benefits by recruiting and/or generating interest. For the Winka brand, the Referral Program will focus more on the benefits earned via recruitment, making this a very effective marketing tool that will lead to player recruitment and player retention. Long term, this can become a self-sustaining program that will promote player engagement.

The referral program will be an automated process based from what you set that happens on a monthly basis. The system will automatically track all player transactions and determine by itself which transactions and which referrers will be able to earn commissions for that month. You will be able to review the commissions and then distribute the commissions to the players once done.

**Winka's Referral Program is divided into three major components and these are:**

1. **Segment Management** - This will be the central hub for all things related to segments. You may setup your referral segments here and you may assign players to a referral segment in which you will be able to activate or deactivate the segment, add/move/remove players, and/or make it the default segment.
2. **Referral (Commission Plan Management, Settings, and Disbursement)** - Here you will be able to setup the settings you want with the referral program, set commission percentages and plans, check and review monthly referrals before disbursing, and then proceed with payments of commission to players.
3. **Reports** - You may review all related transactions in regards to referral. We will be able to show each transaction that counted towards a certain month's disbursement and also go deeper on a player level to show all transactions (including those that did not count towards a certain month's disbursement).

**A. Setting up your own referral program:**

1. Create Segments that will be used for Referral

2. Create Commission Plan/s

3. Place the initial settings for your referral program

I. Go to CHARM>Referral>Settings

a. *Program Start Date* - Date that your referral program will start (this is only for the initial setting, since we follow a monthly basis for referral this option will not be shown anymore for succeeding months).

b. *Calculation/Review Day* - After that month's referral is over this will be the alotted days for a backoffice user to review the commissions. This setting will affect when a user can disburse the commissions to the players. Before the # of days are reached no user will be able to disburse the commissions to the referrers.

c. *Negative Carry Over* - for any negative amounts in referrals computed it will carry-over to the next month's computations. This will decrease the next month's commission of a referrer.

d. *Minimum Activity for Referrer/Referral* - A referrer or referral must satisfy the minimum activity before they will be eligible to receive commissions or their transactions to be counted, respectively.\
Deposit - minimum times of deposit\
Play/Bets - minimum times of bets

4. Click on save to apply your settings. After we will have to add segments and commission plans to the referral program so that players will be included and the basis for computation will be added.

I. Click on the add new commission assignment button on the lower right side of the page.

II. Select a segment and the commission plan for that segment then click on save.

*\*A segment must have a player in it first before it will appear in the dropdown. Any segments that are empty will not be shown as an option.*

III. Chosen segments and plans will appear under the referral program and they will now be part of the program.

5. Once it has been set-up, you may click on Start Program to activate the referral program.

\**On its first start, it will carry on from the date you set until the end of that month. On succeeding months it will start from the first day of the calendar month to the end of the calendar month. We follow the Gregorian calendar for dates.*

6. Once started, the referral settings section will show you the current settings for the current month. You will not be able to edit this since the program has already started.

But for any settings you want to change just click on the edit button on the upper right part of the page and it will bring you to next month's settings. You may choose to edit anything you want for the next month.

7. You have just finished setting up your referral program. The referral will then follow a monthly schedule.

The referral program will keep repeating the same monthly process of: on-going program, review days after the month, disbursement after review.

**B. Referral Program Disbursement and Reporting**\
Every end of the month, the system will start collating all transactions that are eligible for computation under the program and once it is done it will be ready to pay out commission amounts to referrers based on the commission plans (this process is what we refer to as *Disbursement).* Disbursement will be a manual process controlled by the Backoffice user. Depending on the Review Day set in the program settings, a Backoffice user will be able to review all eligible/non-eligible transactions, players (referrers/referrals), disbursement amounts via the disbursement settings or under referral reports and player management reports. Once the review day is over, the disburse button will be able for use.

**To be able to pay your players, you will have to manually disburse the finished months by pressing the disburse button.**

Things to take note about the referral program:\
I. Once you save you cannot change your settings anymore. Any edits you make will be applied for next month's referral. Make sure to review your settings before starting the program

II. You may create a lot of segments just make sure that they all have their own commission plan or you may use one commission plan for several segments.

III. Disbursement will not happen automatically. You will have to manually do this by pressing the disburse button and this button will only be available after the # of review days has passed by.

IV. It is possible that disbursed amount will be credited to player's wallets in a few minutes but it should not exceed more than 3 hours. This should depend on the volume of players.

## Referral Reporting and Review

Once a referral month is ready for disbursement, Winka will provide ample time to put the disbursement details for review. To be able to review all Referral Program and Disbursement related transactions, you may look at:

1. **Reports > Referral Program** - A general overview of all Referrers that have commission. This report will always show how much commission a referrer received. It will show you all necessary amounts that were computed to get their commission amount.

a. To effectively review the commissions for a given month, please use the filter and select the month you are reviewing.

b. The following columns provide the details of the transactions involved for that month's referrals:\
Referrer PlayerID - Player that will be receiving commission for that transaction.\
Bet Amount - Total Bet amount that is eligible for commission.\
Return Amount - Total Return amount that was earned by bets eligible for commission.\
GGR - refers to the commission plan type used and it shows the value of the plan type for that transaction. For now we only have GGR but in the future it may accommodate other plan types. It will show the GGR of the transaction.\
% Commission -  refers to the percentage of the transaction that was used to get the computed commission.\
Computed Commission - refers to the direct amount of commission computed for that transaction.\
Negative Carryover - refers to any negative amount that carried over from the past month. This amount will be subtracted from the computed commission of the referrer.\
Total Computed Commission - refers to the total commission that a player will receive after subtraction of any carryovers.\
Status - whether a transaction has been disbursed (paid) or not yet.

*\*Note that only eligible referral transactions are included here. To check ineligible referral transactions you may see it on the referrer's player profile page under PlayerManagement>Players>Reports>Referral Transactions.* \
*\*\*You may use the CSV function to download the transactions in an excel file.*

2. **Player Management>Players>Reports>Referral Transactions** - A specific overview of a referrer's referral related transactions. This report will detail all transactions that were considered under the referral program including ineligible ones. It will also show all of their referrals transactions.

a. To effectively review the commissions for a given month, please use the filter and select the month you are reviewing. You may also filter by active status (non-active status transactions are not eligible for commissions).

b. The following columns provide the details of the transactions involved:\
PlayerID - Player that transaction is originating from.\
Active - refers to: if referral is active and their transactions are eligible to be included for commission.\
GGR - refers to the commission plan type used and it shows the value of the plan type for that transaction. For now we only have GGR but in the future it may accommodate other plan types. It will show the GGR of the transaction.\
% Commission -  refers to the percentage of the transaction that was used to get the computed commission.\
Computed Commission - refers to the direct amount of commission computed for that transaction.\
Status - whether a transaction has been disbursed (paid) or not yet.\
Description - refers to the details of the bet.\
Source - refers to: if bet is from casino or sportsbook.

*\*Note that all transactions by the referral will be included here this will include transactions that are not eligible for commissions. You may use the different filters to narrow down your searches and easily find transactions you are looking for.*\

## Referral Program: Guide for Players

Under the referral program, players will be able to refer newcomers into your websites. Referral was made easy to follow and quick for players. This article will highlight how a player can refer, how they can check their referrals, and how to view records about their referrals.

**I. How to Refer**

1. Each player will have their own referral code under their profile in the Player Portal.

2. A player who wants to refer can then click the copy/copy link button beside his referral code. This will copy a link that the player can give to anyone that he/she wants to refer.

3. Once a player has given his link to another prospective user, that user can use that link in his/her web browser. It will open the player portal with the registration open and the promo code link already filled up.

4. The new user can then finish the registration and automatically the new player is set as a referral of the person whose link they used.

*Please take note*:\
a. The referral code is important on registration it should be entered on the promo code field. If a player registers with a wrong promo code or it is empty that person will not be a referral anymore.

b. Using the referral link will bring you to the registration page with the promo code already filled make sure to ask new players to use the link for easy registration.

c. There is no way to transfer/edit referrals anymore, in case that a player made a mistake during the registration process he/she will have to create a new account.

**II. How to check referrals**\
Players will be able to check their referrals under their profile page in the player portal. They can select a given month and once they click that month they will see the players they have referred. Example:

It will show you the PlayerIDs of all your referrals and it will also show that if that player is considered as active or not for that month.

**III. How to check commissions**

On the same screen as the examples above, a player may also check his her active referrals and commissions there.

Active Referrals - refers to how many active referrals the player has for that given month\
Commission % - refers to the percentage of commission the player received from his/her referral's betting activity\
Disbursed - refers to amount paid to the referrer for his commissions.

## How to use Disbursement for Referrals

The Referral Program is capable of automatically computing commissions from all transactions and it will also be the one in charge of paying commissions to all players. Disbursement, on the other hand, will need to manually be handled by the Backoffice user for proper review first. Once it is done, a button can be pressed for distribution of commissions to referrers.

For the disbursement process please take note of the following information:

The disbursement section follows the monthly setup of the referral program. Disbursements follow these statuses:\
Ongoing - Referral process is ongoing for that month - cannot be disbursed yet

Waiting for Calculation - Referral is now to ready for calculation\
For Approval - Referral process is over and the month is for review  - cannot be disbursed yet\
For Disbursement - Referral process is over and the period for review is over - can be disbursed\
Disbursed - Referral process over and the commission has already been paid out to all players

You may click on any of the months to show a summary of information regarding the disbursement for that month:

Total Number of Referrers for Commissions - Players that will receive commissions\
Total Number of Bets - Total # of eligible bets used to compute for commissions\
Total Amount of (Commission Plan Type) for Commission - Total amount of the given basis for computations\
Total Amount of Commission to be Disbursed - Total amount commission to be paid to referrers\
Processed Date - Date when the commission was disbursed.

**Once a month is "For Disbursement" a button will appear which you can click to pay all commissions that month to all the eligible referrers.**

PS:

Before disbursing referral commissions, please make sure to click the 'Recalculate' button first to ensure the referrer’s commission data is accurate.

## How to Create a Commission Plan for Referrals

Under the Referral Program, the Commission Plan Management section is where you will set the different commissions that you will use under the referral program. Here you will be able to set how the commission will be computed and what percentages will apply depending on the number of referrals.

Here you will be able to create multiple commission plans. **To set-up a plan you will have to:**

1. Click on the add button on the upper right of the page.

I. Commission Plan Name - Label for your plan\
II. Commission Plan Type - Which plan type will be used to determine the basis of the commissions. For now we only have GGR but it is possible to include other options in the future.

2. Save your plan details and then it will bring you to this section:

*\*You may edit the plan name and plan type in case you want to change it.*\
*\*\*You are able to set multiple referral counts with different percentages here.*

I. Referral Count - how many referrals a referrer will need to reach so that they will be able to receive the corresponding % Commission.

II. % Commission - This is going to be the percentage of how much commission a referrer will receive for his/her referral's transactions.

3. Press the "add new commission setting" to start adding the referral Count and % commissions for your plan.

Set up the different referral counts a referred must have to reach a certain % commission. For example below:

If a player is able to refer 2 other active players and those referrals have eligible transactions they will receive 5 percent. The percentage increases to 6 when they are able to reach 4 referrals and then to 7 once they reach 10 referrals.

## Referral Program New Update

The following are the recent feature enhancements in the back office for the referral program.

**I. Add New Commission Setting**

CHARM > Referral > Commission Plan Management > Choose a Commission Plan > Edit Commission Plan

To add a new commission setting in each commission plan, click the plus button to get started.

*The 'Referral Count' has been updated to 'Active Referral Count'.*

Once saved, it will appear in this page. In the sample below, when a player successfully refers three active players with qualifying transactions, they will be entitled to a 34% commission.

**II. Player Management > Reports > Referred Players**

To check all the referred players by a particular user, go to player management > reports > referred players.

Registration Date - Displays the date that a referral registered using a referrer's code or link.

Referrals - Displays the Referral's Player ID

Username -  Displays Referral's Username

Last Active Date - Displays the Referral’s Last Active Date

* Last Active Date is the date that the Referral meets the minimum activity (deposit and/or bets) per month.
* The calculation depends in the operator's timezone.

Status - Displays the status of a referral per month (Active/Inactive)

**III. Reports**

Nothing changes in the reports section except the % Commission has been removed.

* In Player Management > Reports > Referral Transactions, note that the % Commission to display depends on the Active Referral Count which may change daily.
* Referral transactions of a referrer for previous months with old computation will only be visible in the back office (Player Management > Player/ Referrer > Reports> Transactions and Referral Transactions.

*The referral program modifications primarily focused on enhancements to features within both the back office and player portal, along with the addition of daily referral displays. Calculation adjustments will occur due to the daily evaluation of active referrals and commission calculations being performed on a daily basis. At the end of the month, recalculations will be made to accommodate the resettlements of the Sport bets.*

## Referral Program New Update: Guide for Players

This article will provide the players the new update on referral program in the player portal.

**I. Referral Code/Link**

Aside from the player referral code, a referral link is added along with a button to copy it.

**II. My Referrals**

Under My Referrals, the player will be able to see the list of his/her referrals. A new section is added for the player to see their commission history for referring. This is what the players will see on their end.

Referrals -Displays the Referral's Player ID

Username -Displays Referral's Username

Last Active Date - Displays the Referral’s Last Active Date

* Last Active Date is the date that the Referral meets the minimum activity (deposit and/or bets) per month.
* The calculation depends in the operator's timezone.

Status - Displays the status of a referral per month (Active/Inactive)

The search tool enables players to find a specific player by entering and searching for their player ID.

The date filter helps narrow down results based on the specified date range.

**III. Commission History**

On this page, users can access their Commission History, which allows them to view data on a monthly, daily, or per player basis. By default, when accessing the Commission History tab, the User’s Commission per month is displayed.

**a. Monthly**

The filters allow the user to check results based on their selected status and/or effective year.

By clicking the icon beside the number of active referrals, the user will be able to see all his/her active referrals.

*No icon will appear if there is no active referral in a month.*

**b. Daily**

Enables users to view their commissions on a daily basis, showcasing commissions for previous dates rather than the current date.

*Allows the user to filter results in the data table depending on the month and year selected. By default, the selected is the current month and year.*

**c. Player Report**

Enables users to observe their commissions per player, displaying commissions for previous dates rather than the current date. The user can search a specific player and/or use the filter results for a specific month and year.

**Notes for Daily and Player Report:**

GGR - displays the GGR per day. GGR = Total bet amount - Total returned amount

Commission % - displays the commission % applied

Commission Amount - displays the user's commission on a daily basis.  Commission Amount = GGR \* Commission %

Overall Total - displays the total of commission amount. Overall Total = Sum of all Commission Amount - Negative Carryover

* *Even if a Player has no GGR on some days, it will still be displayed.*
* *The GGR and Commission Amount values are subject to change based on the outcome of re-settled bets.*
* *Negative Carry Over will be displayed if there is a negative carryover from the previous month.*
* *If a referrer does not  meet the minimum activity required set per Commission Plan, the referrer will not be able to claim Commission Rewards through his/her active referrals. This is what the user will see:*

* *Data with old computations will not show in Monthly, Daily, and Player Report tab if commission program with daily computation starts.*\
  Referral Notes
* *Last Active Date is the date that the Referral meets the minimum activity (deposit and/or bets) per month. Once the the referral meets the requirement, the status will be active for the month (which is included in the commission computations) and will be back to Inactive in the next month.*
* *The calculations of the bet will be at the end of the day. The status will change on the next day.*
* *The GGR and Commission Amount values are subject to change based on the outcome of re-settled bets. This means that recalculations will be made to accommodate the resettlements of the Sport bets.*

## How to setup Segments under Segment Management

Various systems under the Winka platform (those under CHARM) may require the use of segments and as such the Segment Management section will be the place for all segments to be created and maintained.

Here you will be able to create multiple segments for different uses. **To set-up a segment you will have to**:

1. Click on the add button on the upper right part of the page.

I. Segment Name - Label for your segment\
II. Segment For - Which CHARM or Winka feature you would like to create the segment for (ex. Referral)\
III. Segment Type - What type of Segment it will be. For now we only offer manual but in the future it may expand to cover other segment types.

IV. Segment Setup - Whether you want the segment to be the default segment for that CHARM feature or not. Default means that new players will automatically be included here or players not grouped in other segments will also be included here.\
*\*Note that there will only be one Default segment for each CHARM feature (ex. only one default segment for Referrals)*

2. Save your segment setting and then it will bring you to this section:

*\*You may edit in case you want to change any of the settings you previously inputted.*

*\*\*Newly created segments will always be shown as active. You may turn off the active status anytime you want to. Note that, inactive segments cannot be used for any Winka CHARM features as they will be considered turned-off.*

3. You may start adding any player you want to the segment by pressing on the add player button on the right side and this will bring you to a list which contains all players.

*\*You may click on any line to add the player to the segment.*\
*\*\*There are filters above so that you may be able to find players easily by Username or PlayerID. You may also choose to only view certain segments in case you want to get players from other segments.*

4. Once you are done with setting up the segment it should appear under Segment Management

## Referral: Daily Period Calculation

Monthly Referral Reports

The Monthly Referral Reports include all the details found in the Player Portal's monthly commission history, with additional features such as main currency conversion and a direct link to explore the breakdown of active referrals and disbursed amounts.

**Navigational**

* Monthly: Shows the data table for Monthly Referral Reports.
* Bets: Sub-navigation to view all settled real bets placed by referrals.
* Requirements: Sub-navigation to view the commission requirement status of referrer and referrals.
* Refresh Button: Retrieve the most up-to-date data.
* CSV: Download the displayed table in CSV format, based on the effective year.
* Settings Button: Allows you to show or hide columns in the data table.

**Filter**

* Period: Date picker for month and year, starting from January 2024 up to the current period. The current period is set by default.

**Data Table (Main View)**

**Details:**

* Last Calculation Date: Date and time when the last update was made.
* Total Qualified Commission (MC): Summary of total qualified commission for the period in main currency.

**Main:**

* Date: Period (month) being displayed.
* Commission %: The applicable commission rate for the period.
* GGR: Gross Gaming Revenue for referrals in referrer’s currency.
* Commission Amount: GGR multiplied by the applicable commission %.
* Currency: Referrer’s currency.
* GGR (MC): GGR converted to main operator’s currency.
* Commission Amount (MC): Commission amount in main operator’s currency.
* Expand/Minimize: Shows or hides the breakdown of transactions at the player level.

**Drill-down (Player View)**

* Player ID: The referral’s unique identifier.
* Period Active Date: Date when the referral became qualified for the period.
* GGR: Gross Gaming Revenue generated by this particular referral.
* Commission Amount: GGR multiplied by the applicable commission %.
* Currency: Referral’s base currency.
* GGR (MC): GGR in main operator’s currency.
* Commission Amount (MC): Commission amount in main operator’s currency.
